Review a pending order, approve it so the warehouse can receive against it or reject it with a note, and change the delivery date once it's approved.

Your line lead raised an order for 100 sacks of jasmine rice, and it's sitting in Purchase orders as Pending — a request, not a placed order. Nothing gets received against it until someone reviews it: you approve it so the warehouse can book the stock in, or you reject it and say why. Open Purchase orders to find the orders waiting on you. Open the pending order
From Purchase orders, set the status filter to Pending and select the order. It opens on its own page with a Pending badge next to its number.
Check what you're committing to
Read the Order details, Vendor, and Line items — the products, quantities, per-unit prices, and the Purchase order total at the foot. If a line is wrong, select Edit to fix it: editing works the same as building the order, and only while it's still pending.
Approve it
Select Approve and confirm. The order moves to Approved and its lines lock, and from here the warehouse can it.
Or reject it
Select Reject, type a note explaining why, and confirm. The order moves to Rejected and your note is saved on it as the Rejection notes for anyone who looks later.
Reject needs a reason
The Reject button won't submit until you've written a note. Approving takes no note — the order simply moves to Approved.
An order's status decides what you can do to it:
Approving and rejecting are both one-way. If a rejected order's problem gets sorted out, you raise a fresh order rather than reopening this one.
Once an order is approved its lines are locked, but a vendor's delivery window can still shift. Select Edit delivery date on an approved order, pick the new Expected delivery date, and save. Every other field stays locked — this is the one change an approved order allows.
If a pending order was raised by mistake — a duplicate, or something you've decided not to buy — select Discard while it's still pending. It drops off your lists right away. Unlike a rejection, a discard keeps no note, so reach for Reject when you want the reason on the record.
Discard can't be undone
A discarded order can't be brought back. If you might need the record — or the reason — reject it instead so the note stays on the order.
Who can approve
Approve, Reject, and Discard show up only for people whose role includes those permissions. If you don't see them on a pending order, ask whoever manages your roles to grant the ones you need.
