Log the condition, temperature, and seal of a delivery truck against its purchase order, so the state your stock arrived in stays on the record.

A refrigerated trailer backs up to your dock with a pallet of rice, and before anyone breaks the seal someone has to walk it — read the temperature off the cooling unit, look the load over for damage or pests, write down the seal number. Recording that walk-around against the order the truck is delivering is a truck inspection, and you do it from the purchase order in Receiving. The shape the load showed up in then travels with the stock you book from it — proof, months later, of how the delivery actually arrived. Kitchen+
Open the order in Receiving
Go to Receiving and select the order the truck is delivering against. Any order in Receiving works — you can log the inspection before you book a single line in.
Start a record
Find the Truck shipping section and select Add record. It opens a blank inspection.
Identify the load
Fill in the Order / invoice number, Supplier name, Transport carrier, and Driver name. All four are required — they tie the record to the paperwork the driver hands you.
Record the trailer conditions
Under Trailer conditions, check every box that describes how the trailer turned up: Satisfactory, refrigerated, Satisfactory, non-refrigerated, Unsatisfactory, Damaged, or Contaminated. Check at least one.
Read the temperatures
Enter the Trailer set point (°F) and the Trailer temperature (°F) for a refrigerated load. Both are optional, so leave them blank for a dry one. Add the Seal number and any Notes while you're at it.
Save the record
Select Add. The inspection lands in the Truck shipping section, stamped on the order.
Fill it while the driver is still there
Every field on this record comes off the paperwork in your hand. The order or invoice number, the carrier, the driver, and the seal all read straight off the bill of lading — so record the inspection at the dock, before the truck pulls away.
The form takes two temperatures, and they answer different questions. The is what the driver dialed in before leaving the supplier; the trailer temperature is the reading you take when the doors swing open. Record both, and a reefer that was set right but ran warm shows up as a gap between the two — the kind of thing you want on the record, not in someone's memory.
An Unsatisfactory, Damaged, or Contaminated trailer earns its own record even when you take the load anyway — it's the first line of the story if that stock is ever questioned. Writing it down changes nothing on its own, though: the delivery still books in exactly as it would have.
The inspection records, it doesn't decide
What happens to a questionable delivery is a separate call. You make it in QC when you book the line in, or by sending the load back to the supplier. A poor trailer reading here is the evidence behind that decision, not the decision itself.
Every saved record carries a pencil and a trash icon. Select the pencil to fix a field — a mistyped seal number, a temperature you re-read. Select the trash to remove the record; Bettr asks you to confirm first, since its inspection details won't be kept on the order once it's gone.
