Open a vendor's validation file, attach the six food-safety documents and two assessments it needs, and read the status that shows at a glance whether the supplier is qualified.

Before you buy from a new supplier, you qualify it — you gather the food-safety paperwork an auditor will ask for and keep it where you can find it. Every vendor in Bettr Manager carries a file for exactly this, and Bettr works out a status from what you've put on it. Open Contacts and pick a vendor to fill one in.
Open the vendor's validation file
On the contacts list, select Vendor validation on the vendor's row — or open the contact and select Vendor validation at the top. Only a contact marked Vendor has a validation file; open a customer's and Bettr tells you it isn't a vendor, so there's nothing to fill in.
Write the two required assessments
Under Required information, fill in the Risk assessment — your read on the risk this supplier carries — and name the QA contact you deal with there. A vendor can't reach Approved until both are written.
Attach the six required documents
Under Required documents, select Upload File on each of the six slots and pick the file. Each slot takes a PDF, a Word document, or an image, up to 10 MB. A file you pick shows as not saved yet and the button turns to Replace File — nothing is stored on the vendor until you save.
Add any optional statements
Fill in the Optional statements if the vendor supplied them — Lot code explanation, Social responsibility statement, and Prop 65 statement. These don't change the status; they're there so the paperwork lives in one place.
Save the validation
Select Save validation. Bettr recomputes the status from what's now on file and drops you back on the vendor, where the new status shows on its card.
Bettr asks for the six documents a supplier audit leans on most. Gather them from the vendor, then attach one to each slot:
All six are needed before a vendor can reach Approved. Once a document is saved, its slot shows the file with a View link, so you can reopen exactly what's on record. To swap in a renewed certificate, select Replace File on that slot and save again.
You don't set the status by hand — Bettr derives it from what's on the file, and shows it both here and on the vendor's contact card.
Read a vendor's status without opening it
The Validation badge on each vendor's contact card tells you at a glance which suppliers are Approved and which still need paperwork — so you can chase the gaps before an audit instead of during one.
Compliance paperwork expires. When a vendor's audit or insurance renews, open its validation file, select Replace File on the slot that changed, and save — the new document takes the old one's place and the status stays current. Keeping each vendor at Approved is what lets you answer a supplier question the moment it's asked, with the document already in hand.
