Your team approved a grocery order for thirty cases of jasmine rice this morning. The lines are locked and the customer is committed — but nothing is staged yet, and the order still reads Approved. Preparing it is the one click that turns that promise into a live staging job: the order moves to Preparing, and Bettr opens the screen where each line gets stock set against it. Open the approved order
From Sales orders, select the order you want to fill. It has to wear an Approved badge — a Prepare shipment button only appears once the order is approved. While it is still Pending it shows Approve and Reject instead, and there is no way to jump ahead of that.
Start preparation
Select Prepare shipment. The order moves from Approved to Preparing, and Bettr takes you straight to the staging screen with every ordered line laid out. You are recorded as the one who started it, and it is a one-way step — an order that is being prepared can't drop back to Approved.
Set stock against each line
Every line opens as Needs stock. Select Add stock item on a line to stage a lot and a location for it. As you stage quantity the line reads Partially covered, then Covered once its full quantity is set. Working the staging screen — adding stock lot by lot, then shipping — is its own task, covered on its own.
Preparing does one thing to the order and opens one screen. The order's status moves to Preparing, which locks in that fulfillment has begun and marks you as the person who started it. Then Bettr drops you on the Prepare shipment screen, where every ordered line is listed with its own .
Preparation is not a check on your stock — the order becomes ready to stage whether or not the lots exist yet, and the coverage badges are what tell you where each line stands. A line reads Needs stock until anything is staged against it, Partially covered while it is short of the ordered quantity, and Covered once its full amount is set.
Once an order is being prepared, the button at the top of it reads Continue preparing instead of Prepare shipment. That is a shortcut back to the same staging screen — it opens nothing new, so you can leave preparation half-done and pick it up later from exactly where you left off.
Two things gate a shipment, and preparation is the first of them.
Preparing is one-way
An order that is being prepared can't be edited, discarded, or moved back to Approved — those buttons are gone. If the order turns out to be wrong after you prepare it, you handle it downstream in staging and shipping, not by reversing preparation.
Who can prepare an order
Preparing is its own permission, separate from approving. A teammate who can approve an order may not be the one who can prepare it, so the Prepare shipment button only shows for a role that is allowed to prepare.
